Minimum Qualifications
For appointment to an Executive Assistant, you must have:
- Six years of relevant full-time experience including administrative support, use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office
OR
- Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional) or associate’s degree in a related field such as office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology AND four years of relevant full-time experience including administrative support, use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office
OR
- A bachelor’s degree or higher in a related field AND two years of relevant full-time experience including administrative support, use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office
Duties
Supporting Executive Deputy Comptroller in day-to-day operations
- Scheduling meetings, maintaining Executive Deputy’s calendar, preparing agendas, and following up with staff on outstanding issues. Maintaining office files, electronic and hard copy. Preparing/formatting/editing draft documents. Screening incoming calls and incoming mail and forwarding to appropriate staff. Schedule travel arrangements, which include transportation, lodging and meals. Create and complete travel vouchers. Performing administrative duties as directed by Executive Deputy.
Executive Correspondence/Freedom of Information Law (FOIL)
- Organize, track and direct Executive Correspondence, FOIL, Contact Us, and other external communication requests to appropriate staff, follow-up on and draft letters for Executive Deputy’s review, forward for appropriate review and completion.
Serve as back-up to Division Bureaus’ staff as needed.

- Serve as back-up to Division Bureaus and other Executive staff in the Office of Operations
Knowledge, Skills & Abilities
The selected candidate must:
- Have excellent interpersonal and communication skills including the ability to communicate in a professional and clear manner with tact and diplomacy
- Be proficient in Outlook, Microsoft Word, Excel, and PowerPoint
- Knowledge of legislation would be helpful but not required
- Be able to understand and follow established policies and procedures
- Have the ability to work independently and exercise good judgment in assessing necessary action
- Be reliable, dependable, and cooperative
- Have a willingness to be flexible and to assist other bureaus/areas with coverage
- Secretarial and/or administrative experience preferred
- Ability to review written requests, proofread and research associated materials
- Use good judgment in handling highly sensitive and/or confidential information
- Exceptional organizational skills and ability to set priorities when working on multiple priorities
- Ability to work overtime when needed
