Purpose
To inform agencies of procedural changes in PayServ related to assigning chartfield data to current and new position pools.
Affected Employees
Agency representatives responsible for adding/updating Position Pools with the chartfield/accounting data (i.e. Payroll Officers, Human Resource Liaisons and Fiscal Officers)
Background
The State adopted a new Chart of Accounts (COA) in 2012 when it implemented the Statewide Financial System. OSC is now aligning personal service charges with the new COA. Following this conversion, agencies will be able to add/update accounting information in PayServ using the statewide chartfield strings.

June 1, 2015 – PayServ Position Pool moratorium ends
OSC Actions
OSC has created six job aids for agencies to review and begin using as of June 1, 2015 after the COA Conversion is complete and the Position Pool moratorium has ended.
- Add New Position Pools
- Review & Modify Existing Position Pools
- Add Chartfield Strings for a New Position Pool ID
- Review & Modify Chartfield Strings on the Department Budget Table
- Inactivate Existing Position Pool
- Inactivate Position Pool on the Department Budget Table
Agency Actions
Agencies should review the job aids listed above and become familiar with the new procedures for adding and updating position pools.
Agency implementation of these new procedures should begin on or after June 1, 2015.
